Outpatient Therapy Attendance Policy

We want all patients to make progress and achieve therapy goals. Your child's success in therapy will depend on prompt and consistent attendance. If for any reason you are unable to attend your appointments, changes will be made in your therapy schedule as listed below. We know bringing your child to therapy is a major commitment by you and your family, and we thank you for choosing Children's Health.

General Expectations

  • Arrive at least 5 minutes before your appointment time

  • Your session will include time to discuss your child's progress and home program

  • Please speak to the staff in the front office id you need to change your appointment day or time

  • If you cannot make your appointment, 24 hours notice is required

  • DO NOT bring your child to therapy if your child:

    • Has had a fever of greater than 100.5 degrees in the last 24 hours

    • Is in the contagious stage of a communicable disease such as chicken pox, whooping cough, strep throat and/or pinkeye

    • has uncontrolled diarrhea or vomiting within the past 24 hours

    • has an untreated infestation of head lice or scabies

Attendance Events:

  • Cancellation

    • Any appointment canceled before the scheduled appointment time

  • No-Show

    • If you do not come to an appointment, then it will be counted as a No Show appointment

    • If you are more than 10 minutes late for your appointment, this may be counted as a No Show

    • Only 3 no shows can occur in any 3-month period

      • First No Show = Confirm appointment time and reminder of attendance expectations

      • Second No Show = Schedule appointments week to week and written reminder of attendance expectations

      • Third No Show = Written notice of discontinuation of service to family and physician allowing one additional visit for transition

    • For re-admission you can contact the Call Center for re-admission in 6 months if they wish

    • in the event of extenuating circumstances, please discuss with the clinic manager

  • Rescheduling:

    • You are strongly encouraged to reschedule canceled appointments, so your child can receive full benefit from therapy.

  • Attendance Expectations:

    • If your child is scheduled:

      • 3 times per week, events allowed in any 3-months period 10

      • 2 times per week, events allowed in any 3-months period 7

      • 1 times per week, events allowed in any 3-months period 5

      • 2 times per month, events allowed in any 3-months period 3

      • 1 times per month, events allowed in any 3-months period 1

  • If Attendance Events Go Over the Maximum Number:

    • All future scheduled appointments will be cancelled

    • You must schedule all therapy appointment on an appointment by appointment basis, each week, for 30 days

    • If you do not have any "Events" during the next 30 days, you can schedule a series of future appointments

Note:

  • Absences due to clinic closure, staff absence, child's hospitalization or for up to two calendar weeks of family vacation per year, are not counted as Attendance Event

  • Physical therapy, occupational therapy, speech therapy, and psychology attendance are all tracked separately.
